The Service Admin Assistant role in Yardstick provides administrative and operational support to the Aftersales Department to ensure efficient coordination of service activities, documentation, accounts cash flow and support for parts management. This role is responsible for handling reimbursements, support managing service and invoice reports, and assisting in spare parts and maintenance requests.
Responsibilities:
- Administrative Support
- Process and monitor reimbursements related to service operations.
- Maintain accurate filing of service reports, blue-copy invoices, and other Aftersales
documents. - Prepare and update transmittal reports for invoices and related files.
- Support and assist to track technician tools issuance, supplies, and other
administrative support needs of the department.

- Service Operations Coordination
- Assist to monitor and record the movement and condition of loaner units issued to
clients. - Support the documentation, and communication with internal stakeholders.

- Support and assist monitoring, and safekeeping of spare parts inventory.
- Assist Parts issuance and release process and documentation.
- Documentation and Reporting
- Ensure completeness and accuracy of service-related reports and files.
- Maintain organized digital and physical filing systems for easy reference and audit.
- Prepare summary reports as required by the Aftersales Team Lead or Manager.
- Support and assist monitoring, and safekeeping of spare parts inventory.
- Other Tasks
- Assist in continuous improvement of administrative and service coordination processes.
- Perform other duties that may be assigned by the Aftersales Team Lead or
Manager. - Performs any other duties and responsibilities as requested by the Management.

Must Have
- Bachelor’s Degree in Business Administration, Office Management, or related field.
- At least 1–2 years of experience in administrative support, coordination, or logistics (preferably in a technical, service, or aftersales environment).
- Strong organizational and multitasking skills.
- Proficient in Microsoft Office and Google Workspace tools .
- Detail-oriented with excellent documentation and communication skills .
- Able to work independently and collaboratively in a fast-paced environment .
